EVALUATE THE NECESSITY OF OCCASIONAL ACCESS

If the Company with which you do business visits at a frequency ranging from a few times a month to a few times a year, it must be considered as requiring occasional access.

As an MGTP manager or as a Company with a business partnership, you must ensure you complete the sponsorship process.

The Company executes its sponsorship

After sending its sponsorship form, the Company with which you do business will be recognized for its access to the Port of Montreal.

The authorized signatory of this Company will register all its employees with a permanent port access card

During registration of the Company, MGTP Security will determine the Company’s types of frequency with the manager (Permanent, Occasional, Temporary).

During access to MGTP terminals

Given that the Company has been admitted as occasional, it will have to announce itself before each of its visits to the terminals.
Steps:

  1. The Company must send an email to mgtsecurity@mtrtml.com
  2. In the email, the Company must copy the manager responsible for its file at MGTP.
  3. The Company must include the following information in its request email:
    • Company name
    • Reason for the visit
    • Duration of the visit
    • Place of the visit
  4. An access level will be added to your employees’s; port cards for the duration of your work. You thus will be able to access MGTP’s facilities directly, without passing through the security office.

How can I know if the Company with which I do business needs occasional access?

If the employees of the Company with which you do business visit at a frequency ranging from a few times a month to a few times a year, it must be considered as requiring occasional access.

How can I know the current status of the Companies doing business for me?

You can access the MGTP website under Providers/Sponsored Organizations.

If the Company with which I do business needs occasional access, what must I do as a department head?

You must refer the person responsible for the Company with which you do business to the sponsorship process. This process is available to the public on the MGTP website, under the Providers tab, Registration. You then must explain to the Company with which you do business that it must send an email to mgtsecurity@mtrtml.com before each of its visits. Don’t forget to tell the Company to copy you in this email. If the Company’s request is ever unjustified, you may intervene directly with mgtsecurity@mtrtml.com to prohibit access.

Must the employees who have passed through the process still register at the security office?

If the Company has executed its sponsorship and its employees have obtained their port cards, access will be added without the employees having to pass through the security office. However, the Company must have announced its visit 24 hours before its arrival.

Why not simply give permanent access to all Companies that do business with MGTP?

MGTP, as a port terminal operator, must restrict access to its facilities as much as possible to contribute to the reduction of security risks. Referring a certain number of Companies to occasional access allows better control of the number of individuals who have access to our facilities.

What are the differences between Companies that have permanent, occasional or temporary access needs?

Permanent = Companies that have an almost daily business relationship with MGTP
Occasional = Companies that visit a few times per month or per year after service calls.
Temporary = Company or person who visits only once, or very rarely.
